Main Duties & Responsibilities

  • Forecast supply and demand to prevent overstocking and running out of stock
  • Assist purchasing officer place orders to replenish items as needed
  • Track shipments and address any delays
  • Oversee the storage of product, particularly of fragile items
  • Evaluate suppliers’ offers and negotiate profitable deals
  • Coordinate regular inventory audits
  • Ensure that purchases do not exceed budget
  • Work in conjunction with all Heads of Department to ensure maximum profitability
  • Maintain vendor and service provider relationships
  • Remain acutely aware of market trends that could impact resource costs
  • Analyse invoices to ensure correct products /services were received at the expected cost.
  • Collaborate with Heads of Department to strategize ways to minimize waste
  • Commit to maximizing efficiency at all levels without compromising quality
  • Managing of Stock takes
  • Co-ordinate the development of standard purchase specifications for various items
  • Monitor the adherence to Company policies and regulations with regards to purchasing
  • Secure competitive price quotations for all purchases
  • Monitoring of Stock Variances with Heads of Department
  • Monitor food and beverage stocks, storeroom security and storage conditions. Ensure the discrepancies arise out of physical verification of stocks properly dealt in the books of accounts on a regular basis
  • Oversee and direct the purchasing/procurement team

Required Qualification & Experience

  • 2-3 years’ experience in a similar role
  • Proficient in Excel (especially in the pivot table and vlookups)
  • Outstanding organisational and time-management abilities
  • String Ethics and reliability
  • Diploma /Degree from a reputable institute preferred
  • Hospitality experience advantageous
  • Any inventory management, accounting, purchasing or supply chain qualifications advantageous
